You can set up the AI Receptionist by following these steps:
- Log in to Ooma Office Manager as an administrator and navigate to Ooma AI under the Settings menu.
- Select New voice assistant under the Voice Assistants menu.
- Choose Receptionist. If this is the first time you’ve created a voice assistant, you’ll need to agree to the Terms of Service.
- Begin using the setup wizard by assigning your voice assistant an extension name and number, then write an initial greeting of up to 250 characters. You can pick from four different voices.
- Decide who gets notified and when. You can configure notifications by call topic, urgency level, or recipient.
- Add up to 10 FAQs about your business or direct the assistant to your website so it can respond to inquiries intelligently. Remember, the AI Receptionist can answer complex product, service, and policy questions using your configured knowledge.
- Take one last look at your setup choices and then hit the Create assistant button.
That’s it! Your AI Assistant can begin taking calls and answering your FAQs right away. You can put it into action by following the instructions in this article to direct calls to it.
If you’d like, you can also configure the following advanced skills:
- Information to gather: Your AI Receptionist supports up to five fully customized call script questions, like asking the caller the party they’re trying to reach or requesting a reference number.
- Call Transfer: The AI Receptionist can transfer calls to another Ooma Office extension. You can also add conditions like “I want to talk to Sales.”
- Appointment Scheduling: Sync your Google or Microsoft Calendar and let your AI Receptionist automatically check your availability and slot in appointments.
- SMS to Caller: Lets the AI Receptionist send an SMS text to the caller either during or after the call. This could include booking links, appointment confirmation, and more.
