A failed fire alarm inspection is more than a compliance issue—it is a life-safety issue.

Once a fire alarm communication path is found to be impaired or non-compliant, building owners and operators are expected to act immediately. Depending on the nature of the impairment and local requirements, the Authority Having Jurisdiction (AHJ) may require temporary measures until the system is restored and approved.

The most important thing to understand is that this is not a problem that can wait for the next maintenance cycle. The response starts now.

Before you leave the inspection

Ask the inspector to document exactly what failed and why.

In most cases, the finding falls into one of two categories:

  • The communication path is not functioning. The fire alarm panel cannot successfully communicate with the monitoring station.
  • The communication path does not meet current requirements. The panel can communicate, but the method of communication may not meet local code requirements or AHJ expectations.

Understanding which condition exists will determine the fastest path to resolution.

Step 1: Follow impairment procedures immediately

An impaired fire alarm system requires immediate attention.

Contact your fire alarm contractor and determine what impairment procedures are required for your building. Depending on the occupancy type, local code requirements, and the severity of the impairment, the AHJ may require a fire watch or other temporary safeguards until the system is restored.

If a fire watch is required, costs can accumulate quickly and may range from hundreds to thousands of dollars per day depending on staffing requirements and local labor rates.

The sooner the impairment is addressed, the sooner normal operations can resume.

Step 2: Contact your monitoring company

Notify your monitoring provider immediately.

They should document the impairment, review recent communication history, and help determine whether signals are still reaching the central station. Their records may provide valuable information when diagnosing the cause of the failure.

Document the date, time, and outcome of every conversation.

Step 3: Notify the AHJ

Follow local impairment notification requirements and confirm whether notification to the AHJ is required.

In many jurisdictions, the fire marshal or building official must be notified of the impairment and the corrective actions being taken. Maintain documentation of all communications and approvals throughout the process.

The AHJ ultimately determines what is required before the system can be considered restored.

Step 4: Determine the root cause

The most efficient path to resolution depends on understanding why the communication path failed.

Common causes include:

  • Carrier service discontinuation. A copper telephone line that previously supported the fire alarm panel has been disconnected or retired.
  • Communication path failure. The existing communication service is no longer functioning properly.
  • Compliance concerns. The communication method may not satisfy local requirements, monitoring company requirements, or AHJ expectations.

Your licensed fire alarm contractor should verify the root cause before any replacement decisions are made.

Step 5: Select a compliant communication path

If the issue involves a discontinued copper line or an obsolete communication method, a replacement communication path will be required.

Do not assume the impairment has been resolved until all required testing, documentation, and approvals have been completed.
