Grow Your Startup With The 7 Best Billing & Invoicing Systems

If you’re an entrepreneur and startup owner then you’re well aware that you have to wear multiple hats. You may not have anticipated having to control marketing, networking, accounting, and billing among other things. While all of these responsibilities are important, billing and invoicing are crucial components that deserve special attention. If you don’t bill your customers then you’re not going to get paid for the products or services that you’ve sold. In order for your business to keep running you need to get these things working smoothly and effectively.

The good news? Technology has made it easier than ever to turn your business into a smart business, and that definitely includes billing and invoicing. For example, VoIP Ooma Office allows you to export your call logs/fax logs for billing and invoicing your customers.

To help get you started, here are seven of the best billing and invoicing systems to use for your startup.

FreshBooks

Winner of the Best Accounting Software Award for 2016 and the Supreme Software Award for 2016, FreshBooks has become a favorite tool for startups. For starters, the system is extremely user friendly and easy-to-use. If you do have a problem, however, FreshBooks also offers award-winning support 24/7.

FreshBooks comes with essential features like the ability to create customized quotes, estimates, and invoices, as well as to print, download a PDF, and email invoices. Additional features include time tracking, expense capture, recurring invoices, and a robust mobile app so that you can stay on top of your billing when you’re away from your computer. Since FreshBooks integrates with payment processors like PayPal, Authorize.net and Stripe, you can easily accept credit card payments.

After a 30-day free trial, plans start at $15 per month.

Xero

Xero was specifically designed with small business owners in mind. In fact, it’s essentially your one-stop shop for all of your accounting needs. This is because it’s packed with features like being able to create professional invoices, track sales and inventory, schedule payments, pay employees, and prepare W2s/1099s.

Xero can also be used to capture receipts and view your start-up’s financial information in real time. As an added perk, Xero integrates with over 350 apps – such PayPal, Square and Stripe – so that you can create a more customized experience for your customers.

If you are having any questions or concerns regarding your accounting or billing, you can search on Xero for an advisor based on your industry and location.

Xero is free to use for 30-days, but the Starter plan is only $9/month.

Zoho Invoice

Zoho Invoice is a part of the broader Zoho suite of online software products that contain all of the basic features micro businesses need to get started, along with more advanced tools that grow with your business. These include accounting, inventory management, and expense reporting.

As for invoicing, Zoho lets you create and send invoices in minutes, track time for projects, accept payments through popular payment gateways and automate payment reminders.

If you have less than five customers, you can use Zoho for free. Basic plans start at $7 per month.

Wave

If you’re on a tight budget and have fewer than nine employees, Wave may be your best accounting and billing option. Wave gives you the ability to quickly create and send invoices to your clients. You can also use Wave to set up recurring payments and send automated payment reminders. To speed up the payment process you can accept all major credit cards on the invoices that you send.

Wave can also be used to track your income and expenses, connect your bank account and credit cards, and pay your employees. And, if you need more funding for your startup, Wave has got you covered since you can apply online to receive between $5,000 to $500,000.

If you decide that you do need an accountant, you can search Wave to find one nearby.

Due

With Due you can quickly generate and send professionally designed invoices in just a couple of minutes. You can view which invoices have been sent and paid, export your invoices or estimates as an XML or CSV file, and use the billing timer to increase your productivity. There’s also powerful billing automation features like recurring payments and payment reminders.

Unlike other billing and invoicing systems, Due can process a variety of payments like credit cards, ACH, gateways like PayPal, and even eCash options like Bitcoin.

Due is 100% free for unlimited invoices and unlimited clients. However, Due does charge a flat 2.8% on all invoices that are paid with a credit card.

LessAccounting

LessAccounting describes itself as “accounting software for business owners who dislike bookkeeping.” With this system you can generate and send invoices, see who owes you money, and record and categorize expenses. If you have an accountant you can even have them download this information so they can handle your accounting and billing without constantly asking you for it.

LessAccounting also integrates with leading banks and credit cards to automatically import your bank data and process payments, saving you hours on data entry. Other integrations allow you to handle payroll, track your time, manage projects, and keep track of your customer relationships.

If you need further assistance for your startup, LessAccounting also has an Entrepreneur’s Learning Center.

Monthly plans start at $20.

ZipBooks

Like the other systems listed above, ZipBooks allows you to create and send professionally designed invoices in just a matter of minutes. It also automates most billing tasks like auto-billing, payment reminders, and time tracking, so that you can get back to focusing on growing your business. With its intelligent features you can dive into reports that will help you retain your top customers and learn how to get paid more quickly.

ZipBooks also comes with accounting features like daily auto-reconciliation and expense management. And, if you’re overwhelmed, ZipBooks also has a team of tax and bookkeeping scholars to lend you hand.

ZipBooks offers a basic free plan, with monthly plans starting at $15 per month.
